The caretaker keeps the only diary that counts, on paper, in the office. He checks it against this within two days and writes back either way — and if those hours have gone since you looked, he will say which nearby ones have not instead of leaving you to guess.
Nothing is held and nothing is owed until then. When it is agreed we take the deposit, you get a key for the hours you booked, and someone is on site the whole time.
